<p>We also faced this in the beginning, but not anymore.</p>
<p><strong>See, manuscript digitization is the process in which rare and old manuscripts are converted to digital file formats so they can be shared online by users from all parts of the world. </strong></p>
<h2>Rule 1: Always use a specialized book scanner</h2>
<p>Yes, you have heard this right. <strong>Always use</strong> a <strong>scanning equipment</strong> that is built <strong>specifically for bound documents</strong>. We call these equipment book scanners.</p>
<p>These are the only equipment that should be used for digital preservation of manuscripts. If you find a case study on the digital preservation of manuscripts that do not involve such equipment, please avoid it. Most likely, those that have created it do not know much about this subject.</p>
<p>These machines are specifically designed to scan rare and fragile material, such as valuable manuscripts. Usually, they scan face up, and the user only has to flip the pages one by one through the process.</p>

<p>So think on your feet and start to build a list with the titles you need to digitize. You should have a <strong>total count</strong> of how <strong>many manuscripts</strong> need to be <strong>digitized</strong>. If you can also count the total pages, that would be a bonus.</p>
<p>Second of all, you will have to check the condition of each one of the manuscripts. Mark those that can&#8217;t be scanned for whatever reason and also note down the reason. It will help you later.</p>

<p>A book scanning service will usually provide great value. You won’t have to know how to digitize a book, you will just send them the book and get a result.</p>
<p>The following things you will have to know when you use a book scanning service.</p>

<p>While using a gentle air blow is good for the integrity of pages, it does mean the book spine has to be ok. If you have a book where pages are not stuck in their binding, the scanner might blow them out. It is just an automatic book scanner that will work. They need the bound document to be ok.</p>
<p>Another thing that you need is homogenous books and pages. More or less, you need books with uniform sizes over the entire length of the book. If your documents have significant variations, we will scan them on our manual book scanner.</p>
<h2>Manual book scanners for non-destructive scanning</h2>
<p>Manual book scanners scan books and textbooks with the operator flipping the pages manually. There are 2 types of manual book scanning equipment, those with overhead cameras and others with linear sensors.</p>

<h3>What we like about manual book scanners</h3>
<p>We have a lot of really old books coming in. Such is the case with manuscripts or other textbooks that are over 100 years old. You can imagine the condition they are in is not the best. The bookbinding is usually very loose, and the pages of the book are ripped apart a lot of times. Therefore we need to scan them with extra care. Also, most of the page sizes are not really the same.</p>
<p>We also like the fact that we can alternate book pages with loose pages. Sometimes we have binders that contain mixed batches of loose documents and bound textbooks. Using a manual scanner allows us to alternate pretty quickly between variations.</p>
<h3>What we don&#8217;t like about manual book scanning equipment</h3>
<p>Manual book scanner usually means a slow book scanner. Production times are notoriously low when you compare with automatic book scanners. We have seen sometimes a throughput that is 3 times lower than with automatic book scanners.</p>

<p>To scan old books, we are currently using a mix of our book scanners for fragile material. We have developed our own scanner for books which has the following features :</p>

<li>It is a V-shaped machine which allows the scanning of old books that do not fully open.</li>
<li>The V Shape book cradle allows us to release the pressure of the book spine, therefore reducing tension and the risk of damaging the binding.</li>
<li>We use a special LED cold light, which does not damage the paper or the pencil marks on the paper.</li>
<li>The pressure glass allows us to flatten the material and get perfect scans. We also use a special glass that does not generate reflexion.</li>

<h3>Scanning books to PDF and other file formats</h3>
<p>After we scan the books using our scanning machines, we post-process the images. In this part, the images files are taken through different operations and finally, they are converted to PDF.</p>
<p>The PDF file formats we offer are PDF/A and standard PDF. Both types of PDF files are offered with OCR, which stands for Optical Character Recognition. Practically, by scanning your paper books have now been converted to Ebooks in PDF file format. The text is now searchable and you can find anything you search for really fast.</p>
<p>The other file formats we can offer are Word documents or even Excel files. These formats we only obtain through the OCR process. There is no other way for this. Characters and numbers are recognized and the software tries to rebuild the original document in a Word or XLS file.</p>

<h3>4. A good method for Optical Character Recognition</h3>
<p>OCR as we call it is the process in which we convert images to readable text. As you know, a scanner generates an image file which is readable only with the naked eye. In Windows or Mac, you will still see the pages as an image. That is where OCR technology steps in and does its magic.</p>

<h2>Scanning the books &#8211; the 2 main scanning methods</h2>

<h3>Non-destructive scanning</h3>
<p>This type of book scanning services refers to books that need to be scanned but also returned. These are maintained in their original state. Special book scanners are required for this kind of process. They can scan books that are open to 180 degrees, 120 degrees and even some that do not open more than 90 degrees.</p>

There are some rare cases in which either the spine has some damage or it was redone and not it&#8217;s too tight to scan. Still, even in those cases we can adjust and find a way to scan your book successfully.</p>
<h3>Destructive scanning</h3>
<p>We can apply this method to books that are not rare or many copies still exist. After the removal of the binding, we scan each page through a classic ADF scanner. This method is high speed and also features the highest quality.</p>
<p>It is also more productive because each sheet is automatically scanned through the equipment. Non-destructive scanning is more labor intensive than destructive scanning. Therefore, the costs for non-destructive scanning are much higher than for destructive scanning.</p>

<h2>Scanned books in color or black and white</h2>
<p>As a general rule, we see books that come in 3 different tonal values: Bitonal, Grayscale or Color.</p>
<p><strong>Bitonal</strong> &#8211; Books in bitonal are usually text-only books. The page tint is usually white or cream color. The text is usually black. For such books, scanning in bitonal is more or less enough. We sometimes scan textbooks in grayscale though, especially to improve the OCR accuracy.</p>
<p><strong>Grayscale</strong> &#8211; Books in grayscale are usually a combination of text and drawings. The text is usually black and the drawings are gray. There are cases in which there are gray pictures ( we call such pictures black and white ). But mostly it will be drawings or graphics that are gray. Those cases in which you need to scan text in grayscale are those when the text is rather pale. For this, you will need to combine grayscale scan with image post-processing.</p>
<p><strong>Color</strong> &#8211; As the name says, color books are those books with inserts, drawings graphics that are other colors than black or gray. These books can be high-quality catalogs or magazines, or specialty books with graphics and layouts. All these books require color scanning which will improve the OCR and the general quality of the services of scanning books to PDF.</p>

<p>Scanning books to PDF services need to be done with OCR and the creation of PDF readable. Initially, when you scan a book, the result will be a PDF image. Although visually you can read the text, the computer does not recognize the image as text. For some customers it&#8217;s enough to have a PDF image, others require a digitally readable PDF file.</p>
<p>We provide the initial conversion of the PDF image to readable text through OCR. Ocr or optical character recognition is the trademark process of converting images to vector ( readable and editable text ). Through this process, we create Word or text files and the readable PDF files.</p>
<p>This process has different success rates based on the quality of the scan and image processing. The accuracy of OCR is a major talking point, but the better the first two steps are the higher the accuracy of the OCR.</p>
