How to scan a notebook

Scanning notebooks is just as easy as scanning textbooks. Actually, all the information provided in the previous paragraphs, work just fine for notebooks. You won’t need a notebook scanner, the standard book scanner works just fine.

Even though they may be different, textbooks and paper notebooks are quite similar in form and shape. Therefore, the scanning process is quite similar.

Where it does go differently is in the post-processing of the notebooks. That will be a bit different, as there is a lot more handwriting in the latter.

So yes, OCR is impossible when you are trying to perform it on handwritten notebooks.

What we like about using an automatic scanner for books

We love the fact that it’s very fast. It is indeed nice when you see that you can scan books at over 1500 pages per hour. The gentle air blower flips the pages automatically. As an operator, you still have to assist it, but you are more like a director rather than being a user.

Also, it helps you keep an eye on the scanning results. The book pages are shown while you can them and you can do an initial quality check of the scanning process. You can also mark pages that require a rescan or special attention from your side.

Mainly, we love the fact that you don’t focus on the actual scanning rather you focus on what to improve. It is a very proactive approach to book scanning and we love that.

What we don’t like about our automatic book scanning equipment

While using a gentle air blow is good for the integrity of pages, it does mean the book spine has to be ok. If you have a book where pages are not stuck in their binding, the scanner might blow them out. It is just an automatic book scanner that will work. They need the bound document to be ok.

Another thing that you need is homogenous books and pages. More or less, you need books with uniform sizes over the entire length of the book. If your documents have significant variations, we will scan them on our manual book scanner.

Manual book scanners for non-destructive scanning

Manual book scanners scan books and textbooks with the operator flipping the pages manually. There are 2 types of manual book scanning equipment, those with overhead cameras and others with linear sensors.

We mainly use the second type of machine, as it provides the correct geometrical values for all book pages. Book scanners that work with overhead cameras and area sensors, deliver images with distortions and incorrect geometrics.

What we like about manual book scanners

We have a lot of really old books coming in. Such is the case with manuscripts or other textbooks that are over 100 years old. You can imagine the condition they are in is not the best. The bookbinding is usually very loose, and the pages of the book are ripped apart a lot of times. Therefore we need to scan them with extra care. Also, most of the page sizes are not really the same.

We also like the fact that we can alternate book pages with loose pages. Sometimes we have binders that contain mixed batches of loose documents and bound textbooks. Using a manual scanner allows us to alternate pretty quickly between variations.

What we don’t like about manual book scanning equipment

Manual book scanner usually means a slow book scanner. Production times are notoriously low when you compare with automatic book scanners. We have seen sometimes a throughput that is 3 times lower than with automatic book scanners.

At the same time, we do see some quality issues with manual book scanners. Because they require the books to sit in an optimal position for scanning, this is not always possible. We do however correct these aspects with our state of the art image processing software for book pages.

Scanning Old Books without breaking the spine

To scan old books, we are currently using a mix of our book scanners for fragile material. We have developed our own scanner for books which has the following features :

It is a V-shaped machine which allows the scanning of old books that do not fully open.
The V Shape book cradle allows us to release the pressure of the book spine, therefore reducing tension and the risk of damaging the binding.
We use a special LED cold light, which does not damage the paper or the pencil marks on the paper.
The pressure glass allows us to flatten the material and get perfect scans. We also use a special glass that does not generate reflexion.

Scanning books to PDF and other file formats

After we scan the books using our scanning machines, we post-process the images. In this part, the images files are taken through different operations and finally, they are converted to PDF.

The PDF file formats we offer are PDF/A and standard PDF. Both types of PDF files are offered with OCR, which stands for Optical Character Recognition. Practically, by scanning your paper books have now been converted to Ebooks in PDF file format. The text is now searchable and you can find anything you search for really fast.

The other file formats we can offer are Word documents or even Excel files. These formats we only obtain through the OCR process. There is no other way for this. Characters and numbers are recognized and the software tries to rebuild the original document in a Word or XLS file.

1. Methods to prepare the book scanning

In this phase, we will have to try and get the book ready for scanning. It might require some cleaning before starting the process. Some books require checking the pages as they might be stuck together. Also, this would be the moment to choose if you scan it in grayscale or in color. In our case, we also have to decide what is the book scanner that will yield the best results for that respective book.

Books can have different characteristics, therefore you will have to scan it on a different machine. For example, we can choose out of 5 different types of book scanners. Based on the bookbinding, the thickness of pages or condition, in general, we run it on our automatic or manual book scanners.

More or less, in this phase, you are preparing for things to come during the scanning process. In our case, if this phase is done correctly, the rest of the process will be very optimized. Furthermore, the quality of the results should be better if we have done this part correctly.

How to Scan a Book

Considering the preparation process went well, you will now have to scan your book. Insert the book into the chosen machine and start going through the process. Take care so the capturing process goes well. You want minimum image issues, such as skew, contrast problems or maybe illumination artifacts.

The actual scanning of the book

You will have to correct the images by software afterward. Still, the better quality images you send to the software the better the end results will be. So always pay attention to quality during scanning. Stop the process if you are not sure. Change settings as you require or how your colleagues require improving the post-processing and OCR.

Last but not least, make sure you have chosen the correct machine to scan the books on. Sometimes information can be written all the way into the gutter of the book. Therefore, in such cases, use a scanner you know will go all the way into the gutter. Other times, you might require scanning books at 400dpi or more. Again, to be productive, use a scanner that can scan at those resolutions and can do it quickly.

Just to recap, there are different ways to scan a book, from destructive to non-destructive. Also, you can scan them at different resolutions. There is not a general best way to scan a book, rather than choosing the best way for that specific book.

3. Different ways of post-processing the scans

We always insist on this phase of the process. We have invested a lot of time in building our own processing software. What it does is split page, deskews or corrects image issues. But this is just the tip of the iceberg. We can go further with white balance, image splitting or even indexing information in the book.

You might think that an expensive book scanner will turn out the highest quality directly from the scanning process. You might be wrong. While these are magnificent mechanical achievements software is lacking. Most manufacturers focus on the mechanics but they have limitations for software. That is why we always try to improve the software aspect of this process.

4. A good method for Optical Character Recognition

OCR as we call it is the process in which we convert images to readable text. As you know, a scanner generates an image file which is readable only with the naked eye. In Windows or Mac, you will still see the pages as an image. That is where OCR technology steps in and does its magic.

Optical character recognition

It takes images and converts them to vector shapes. Furthermore, those vector shapes are then converted to file formats that can be read by many applications. This is the most visible part of the OCR process.

What you may now know, is that during the OCR process we can now generate indexes and tags for scans. Such metadata is usually inserted in digital libraries of files. What this all means is that you can now do full-text searches for your documents. The metadata facilitates high-speed text searching and retrieving information much faster.

5. File formats from PDF, Word to other EPUB formats

Last but not least you have to generate the appropriate file formats. While in most cases PDF and Word documents are the norms, there are times when this is not enough. Special XML and CSV files help developers integrate the books in digitally structured information. This is very helpful when you use a special Content Management System that works with CSV or XML files to understand information and its structure.

The other side of the story is for publishers. Such customers need to convert physical books to EPUB or other ebook digital file formats. The same process applies to them, with the difference being that from the OCR phase, the information has to be corrected.

The correction process means that you have to manually correct each page after the automatic recognition. After correction customers format it and generate a new layout for the Ebook. While this service means the binding is removed, it does provide an improvement in quality. Because the paper moves straight when you scan it, the illumination is almost perfect. The colors are very accurate and the general quality of the scan is much better.

Non-destructive scanning

This type of book scanning services refers to books that need to be scanned but also returned. These are maintained in their original state. Special book scanners are required for this kind of process. They can scan books that are open to 180 degrees, 120 degrees and even some that do not open more than 90 degrees.

Non Destructive Scanning For a Book

We think that we can scan about 99% of the books in this world, using the non-destructive method. There are some rare cases in which either the spine has some damage or it was redone and not it’s too tight to scan. Still, even in those cases we can adjust and find a way to scan your book successfully.

Destructive scanning

We can apply this method to books that are not rare or many copies still exist. After the removal of the binding, we scan each page through a classic ADF scanner. This method is high speed and also features the highest quality.

It is also more productive because each sheet is automatically scanned through the equipment. Non-destructive scanning is more labor intensive than destructive scanning. Therefore, the costs for non-destructive scanning are much higher than for destructive scanning.

Scanning a book with the destructive method

For both of these cases, we can easily generate a PDF file. Not to mention that with OCR technology we can make PDF readable files. But for this, you can check the paragraph below that features the OCR information.

Scanned books in color or black and white

As a general rule, we see books that come in 3 different tonal values: Bitonal, Grayscale or Color.

Bitonal – Books in bitonal are usually text-only books. The page tint is usually white or cream color. The text is usually black. For such books, scanning in bitonal is more or less enough. We sometimes scan textbooks in grayscale though, especially to improve the OCR accuracy.

Grayscale – Books in grayscale are usually a combination of text and drawings. The text is usually black and the drawings are gray. There are cases in which there are gray pictures ( we call such pictures black and white ). But mostly it will be drawings or graphics that are gray. Those cases in which you need to scan text in grayscale are those when the text is rather pale. For this, you will need to combine grayscale scan with image post-processing.

Color – As the name says, color books are those books with inserts, drawings graphics that are other colors than black or gray. These books can be high-quality catalogs or magazines, or specialty books with graphics and layouts. All these books require color scanning which will improve the OCR and the general quality of the services of scanning books to PDF.
